  • Overview

    The Human Resources & Recruiting Assistant will assist with a variety of Human Resource clerical and support activities. These duties will include but are not limited to assisting with coordination of events, scheduling of meetings, assistance with recruiting, onboarding, benefit administration and employee recognition activities.  This is a 6 month contract position. 

    Responsibilities

    • Assist recruiters with recruiting activities including scheduling flights and hotels for candidates
    • Schedule job interviews and interview agendas when requested
    • Format job descriptions
    • Complete all reference and background verifications
    • Obtain food orders for office and coordinate food orders for meetings
    • Assist with new employee processing and onboarding when requested
    • Enter new hire information into ADP
    • Ensure all employee deductions are entered in ADP correctly
    • Assist with general administration of benefit programs including enrollments, changes, and terminations
    • Processes required documents through payroll and insurance providers to ensure accurate and proper deductions
    • Performs customer service functions by answering employee emails, requests, and questions
    • Responsible for facilitation of employee reward recognition programs (i.e. Anniversary Recognition Program)
    • Order Business cards as requested
    • Responsible for coordination and facilitation of Company Corporate Events and Functions
    • Perform HR offboarding activities for separations (i.e. inform carriers, COBRA notifications, close personnel file, etc.)
    • Conduct project work as assigned
    • Perform other job duties as assigned
    • Processes Unemployment claims as requested
    • Assists with internal department incentive programs (i.e. Bravo / Ace Awards, etc.)
    • Assists and process H1B fillings as needed
    • Makes photocopies, scans, emails documents; and performs other clerical functions
    • Assists with reviewing, filing, and tracking of the performance review process
    • Gift Card ordering and tracking for other departments as requested
    • Completes Forms I-9, verifies I-9 documentation and prepares new employee files with appropriate paperwork (i.e. offer letter, PIIA, employment application, resume, etc.)
    • Responsible for ordering new employee shirts
    • Assists with submitting AD, Org. Chart, and Salary/Status new or changes
    • Comply with all safety policies, practices, and procedures. Report all unsafe activities to a member of management
    • Participate in proactive team efforts to achieve departmental and company goals
    • Provide leadership to others through example and sharing of knowledge/skill
    • Act as back-up receptionist
    • Perform other duties as assigned

    Qualifications

    • Bachelor’s degree in Human Resources or related field and/or equivalent experience
    • Ability to write business correspondence, analyze information related to specific assignments, business periodicals and governmental regulation
    • Must be able to solve straightforward problems and seek guidance as needed
    • Proficient PC skills including Outlook e-mail, record keeping, routine database activity, Word processing, Excel spreadsheet, graphics, etc.
    • Must have high attention to detail, ability to prioritize and organize assignments and handle high pressure situations
    • Ability to communicate well with Executives, employees, external customers and vendors

    Typical Physical Requirements:

    • Constantly involves sitting, talking, and hearing
    • Occasionally requires standing and walking
    • Must have sufficient manual dexterity to work with the fingers and to reach/handle items
    • Involves light physical activity performing non-strenuous daily activities of a primarily administrative nature
    • Must be able to lift and/or carry up to 20 pounds
    • Specific vision abilities required by this job include close vision, distance vision, and color vision

    Typical Environmental Conditions:

    • May be exposed to moderate noise levels (i.e. computers, printers, or light traffic)
    • Most work is performed in a temperature-controlled environment
